How to Stop Accidentally Buying Albums You Already Own

Ever stood in a record store holding an album and thought, “Wait… do I already own this?” Here’s how to track your records, CDs, cassettes, and more using the system you’ll actually keep updated.

I'm standing in a used record shop holding an album I want.

It's six bucks.

I know the album. I like the album. And somewhere in the back of my brain, a tiny warning light has turned on.

I think I already own this.

Maybe I have it on CD.

Maybe I have the record.

Maybe I bought it at a garage sale six months ago.

Maybe I'm confusing it with another album by the same artist.

So I do what any rational person would do: stare at the cover for another 30 seconds, hoping it will eventually volunteer this information.

It does not.

I buy it.

Of course I do.

And when I get home, there it is.

Same album. Same format. Sometimes, insultingly, the same edition.

Already on the shelf.

This is one of those problems that sounds ridiculous until your music collection reaches whatever size exceeds your brain's willingness to maintain an accurate inventory.

Then it becomes surprisingly normal.

The good news is that avoiding accidental duplicates isn't particularly difficult.

The harder part is choosing a system you'll actually keep using.

And that turns out to matter a lot more than choosing the system with the longest feature list.

Why We Forget What We Own

Most collections don't arrive all at once.

They accumulate.

A few records become a shelf. A shelf becomes several shelves. CDs migrate into another room. There's a box of cassettes somewhere. A deluxe edition appears. Then a reissue. Then something bought at a garage sale gets put beside the stereo instead of with the rest of the collection.

Five years later, you're standing in Goodwill holding an album thinking:

I know I own something by these people.

Excellent.

Very actionable information.

Multiple formats make the problem worse. I can remember owning an album without remembering whether I own it on vinyl, CD, cassette, or some three-disc deluxe edition that seemed absolutely essential at the time.

Cover artwork changes. Reissues look different. Greatest-hits compilations blur together. Box sets complicate things further.

And bargain bins introduce their own form of temporary insanity.

As I wrote in Why the $3 Bin Is Often the Best Part of the Store, cheap-bin enthusiasm has a remarkable ability to cause amnesia.

When something costs $3, apparently the part of my brain responsible for inventory control clocks out early.

None of this means collectors are bad at remembering things.

It means human memory is not a particularly good searchable relational database.

Especially while standing under fluorescent lights holding three records and a coffee.

First, Decide What You Actually Need to Know

Before choosing an app, spreadsheet, database, notebook, photographic surveillance system, or elaborate series of Post-it notes, I think there's a more useful question:

What am I trying to know?

For preventing accidental duplicates, the minimum requirement is wonderfully simple:

Do I own this album?

But that can quickly become:

  • Which format do I own?
  • Which edition do I own?
  • Do I already have two copies?
  • Where did I put it?
  • What condition is mine in?
  • Is this version different enough that I actually want another one?

Those are different levels of cataloging.

If all I care about is knowing that I own Rumours on CD, I probably need:

  • Fleetwood Mac
  • Rumours
  • CD

If I collect specific pressings, I may care about the label, catalog number, country, release year, pressing plant, matrix/runout information, packaging variation, and condition.

Neither approach is more legitimate.

They are simply solving different problems.

That distinction matters because collection systems tend to become annoying when they require substantially more information than I care about entering.

The Ten-Second Test

Here's my favorite way to judge any collection system:

Can I answer “Do I own this?” in about ten seconds while standing in a store?

That is the moment when the system earns its keep.

To pass, four things need to be true:

  1. The collection has to be reasonably current.
  2. I need access to it while I'm shopping.
  3. Search has to be quick.
  4. The data has to be consistent enough that I trust the result.

If answering the question requires opening my laptop, finding a spreadsheet, remembering which tab I used, filtering 1,800 rows, and discovering that three years ago I decided to abbreviate “Original Motion Picture Soundtrack” as “OST,” then yes, technically I have a catalog.

It just isn't helping much at this particular moment.

Let's look at the realistic options.

Method 1: Memory

Everybody starts here.

And memory is a perfectly respectable collection-management system when the collection is small.

Twenty-five albums?

Probably fine.

Seventy-five?

Maybe still fine, especially if you know them well.

There is no rule saying that owning physical music requires establishing a database administration department.

If you rarely buy duplicates and can remember what you own, congratulations.

Your current system has zero setup time, works offline, and requires no subscription.

Eventually, though, collections tend to reach the point where memory gets fuzzier.

Artists with large catalogs become especially dangerous.

I know I own three albums by an artist.

Which three?

No idea.

That is usually when some sort of external memory becomes useful.

Method 2: Your Phone's Notes App

Before installing anything, there's a decent chance your phone already contains a collection-management tool.

Notes.

A simple list called Albums I Own can work surprisingly well.

You can keep one big searchable list, separate artists into sections, or maintain a want list instead and use that while shopping.

The advantages are obvious:

  • it's already on your phone;
  • there is almost nothing to learn;
  • adding something takes seconds;
  • search is usually available;
  • you aren't maintaining a complicated database.

The weakness is structure.

As collections grow, naming becomes inconsistent. Maybe you entered “Beatles” once and “The Beatles” another time. Maybe formats aren't recorded. Maybe half the list has artists first and the other half has albums first because Past You apparently rejected standards.

Still, for a modest collection?

A notes app may be all you need.

The objective is preventing duplicates, not receiving accreditation from the International Association of Music Collection Database Professionals, an organization I sincerely hope does not exist.

Method 3: Take Pictures of Your Shelves

This is another beautifully low-tech solution.

Before shopping, photograph your shelves.

Done.

There is essentially no data entry, and you're looking at the actual collection rather than a representation of it.

For a few shelves, this can work extremely well.

It becomes less charming when you have 40 photos and find yourself zooming into blurry CD spines while somebody behind you at the record fair wonders whether you're conducting forensic analysis.

Photos also age quickly. Buy ten more albums and the image no longer reflects reality.

And unless your phone happens to recognize enough text to find exactly what you need, you're still visually scanning shelves.

But again:

If it works, it works.

Simple solutions do not become inferior merely because someone invented an app.

Method 4: Google Sheets

Now we get to one of the most capable collection tools that isn't actually a collection tool.

Google Sheets.

A well-built spreadsheet can handle a serious music collection.

A basic version might include:

Or I can keep going:

  • artist;
  • album;
  • format;
  • release year;
  • edition;
  • label;
  • catalog number;
  • condition;
  • storage location;
  • purchase date;
  • price paid;
  • notes;
  • tags.

Sheets supports sorting, filtering, collaboration, and exports to common formats including Excel and CSV. Google also supports making Sheets files available offline.

The great thing about a spreadsheet is that I decide how complicated it becomes.

I can track three fields.

I can track 30.

I can create dropdowns for format, conditional formatting for duplicates, separate tabs for a want list, and formulas whose purpose I will absolutely forget six months from now.

The obvious downside is manual entry.

Google Sheets isn't inherently a music database. Album metadata and cover art don't magically appear because I typed “Steely Dan.”

I have to maintain the structure and keep entering purchases.

But if I already have a spreadsheet I like, it is current, and I can find albums quickly from my phone?

I would keep using it.

Problem solved.

There is no requirement to graduate from spreadsheets.

Method 5: Microsoft Excel

Excel deserves essentially the same respect.

It gives me powerful sorting, filtering, tables, formulas, data validation, and all the other spreadsheet machinery somebody might want for a collection.

For someone who already spends half their professional life in Excel, building a collection tracker there may be easier than learning anything new.

It also has an important philosophical advantage for people who prefer traditional files: I can maintain an Excel workbook locally instead of making my catalog entirely dependent on a dedicated collection service.

The practical question for duplicate prevention is mobile access.

If my workbook lives somewhere my phone can reach when I'm shopping, great.

If the definitive copy is on a desktop computer at home, it fails the ten-second test spectacularly.

A perfect database unavailable at the moment I need it is mostly a beautiful monument to organization.

Method 6: Airtable

Airtable is where things get interesting for people who look at a spreadsheet and think:

Yes, but what if this became a database?

Airtable combines familiar spreadsheet-style views with structured fields, linked records, attachments, filtering, forms, interfaces, and other database-style tools.

I could build separate tables for:

  • artists;
  • albums;
  • individual copies;
  • formats;
  • storage locations;
  • genres;
  • want-list items.

That can become extremely powerful.

For example, I could distinguish an album from every physical copy of that album I own.

That makes a lot of sense for multi-format or edition-heavy collections.

It is also possible to spend three hours creating a gorgeous relational database and zero hours listening to music.

I say that with affection.

Some of us genuinely enjoy building systems.

As of August 2026, Airtable's Free plan allows up to 1,000 records per base. Its Team plan expands that substantially and currently starts at $20 per collaborator per month when billed annually.

There is also one practical consideration for record-store use: Airtable does not currently support offline access.

For somebody who wants to design their own collection system instead of adapting to somebody else's, Airtable can be fantastic.

Just make sure the system is helping you track music rather than quietly becoming your second hobby.

Unless you want a second hobby.

Then carry on.

Method 7: Discogs

Discogs solves a different version of this problem particularly well:

Exactly which release do I own?

Its enormous community-built database distinguishes specific releases rather than treating every copy of an album as interchangeable.

That can mean checking details such as:

  • catalog number;
  • country;
  • year;
  • label;
  • barcode;
  • packaging;
  • matrix and runout information;
  • other release identifiers.

For collectors who care about exact pressings, that's enormously useful.

Discogs also provides substantial collection-management functionality. Collections can be searched and organized, users can maintain Wantlists, and collection data can be exported.

That makes Discogs much more than a marketplace.

The question is whether release-level identification matches the job I'm trying to do.

Sometimes I genuinely want to know whether the copy in my hand is a particular pressing.

Fantastic.

Discogs is extremely good territory for that.

Other times I'm looking at Rumours for four dollars and my entire question is:

Do I already own this album on CD?

If that's all I need to know, identifying an exact release may be more information than this particular decision requires.

Not bad information.

Just a different job.

Discogs is built around detailed releases and a marketplace.

RecordRoom is built around quickly knowing what I own.

Different job.

Different tool.

Method 8: CLZ Music

CLZ Music deserves serious consideration because collection management is exactly what it was built to do.

CLZ currently offers Music products for iOS and Android as well as a web application. It supports catalog searching using things like artist and title, barcode, and catalog number, along with cover art, extensive music metadata, collection fields, wish lists, searching and filtering, and cloud syncing.

It is a mature dedicated collection-management product, not an afterthought bolted onto something else.

As of August 2026, CLZ Music Mobile is $19.95 per year, while CLZ Music Web is $39.95 per year. CLZ also offers options for people who want to use the products together.

Recent 2026 updates include additional customization through user-defined fields, another useful signal that the product remains actively developed.

If I want a purpose-built collection manager with substantial depth but don't want to build my own database, CLZ Music may be a very good fit.

It also gets directly at our original problem: checking a collection while shopping is precisely the sort of use case a mobile collection app is good at.

Method 9: RecordRoom

RecordRoom approaches the problem from a deliberately straightforward direction:

Find album. Choose match. Save to stack. Search your stack.

The emphasis is on getting physical music into the collection quickly enough that maintaining the catalog doesn't become a project of its own.

You can:

  • add by barcode;
  • search by artist and title;
  • choose from candidate releases;
  • add something manually;
  • save a specific edition when that matters;
  • save the general album when it doesn't;
  • search and filter your collection;
  • add notes;
  • use tags;
  • track condition;
  • record storage locations;
  • export your collection to CSV.

That general-album option matters more than it might sound.

Sometimes I care whether I own the 1983 U.S. pressing.

Sometimes I care whether I own Thriller.

Those are different questions.

RecordRoom is intentionally comfortable with the second one.

That philosophy goes back to why we built RecordRoom in the first place: physical collections are personal, and the amount of detail that matters can differ from collector to collector and even album to album.

RecordRoom isn't trying to be Discogs with different colors.

It isn't Airtable if I want to invent my own relational schema.

It isn't Excel if I want complete control over every cell.

The job is narrower:

Get music into my collection with as little friction as practical, then help me find it when I need to know what I own.

That distinction is worth being explicit about.

If native mobile apps are important to me right now, CLZ Music already offers them.

If a mobile-friendly web collection works for what I need, RecordRoom is designed around that workflow today.

Again:

Different job.

Different tool.

The Comparison

There is no universal winner here.

That's the point.

The useful question isn't:

Which one has the most features?

It's:

Which one matches the way I actually collect?

The Real Problem: “I'll Add It Later”

Collection-management systems rarely fail because somebody chose the wrong database engine.

They fail because of one sentence:

I'll add this later.

Later becomes three records sitting on the kitchen table.

Then twelve CDs beside the stereo.

Then six garage-sale finds.

Then that box from the record fair.

Then one mystery cassette whose origins nobody can explain.

At some point I can no longer remember which items have been entered and which haven't, thereby creating a collection database that is extremely precise except for the minor problem of not accurately representing my collection.

The biggest advantage any system can have is reducing the time between:

I acquired this

and:

my catalog knows I acquired this.

That matters more to me than having 27 fields available.

Catalog Before Shelving

The easiest habit I've found is boring enough to work.

When new music comes home:

  1. Inspect it.
  2. Clean it if necessary.
  3. Add it to the catalog.
  4. Add condition, notes, tags, or location information if they're useful.
  5. Put it away.

The important part is the order.

Catalog before shelving.

Once the album disappears into the collection, the odds of remembering to update the database decline rapidly.

The shelf creates a dangerous illusion of completion.

It's filed.

It's organized.

Surely Database Keith will handle the rest later.

Database Keith is unreliable.

The important thing here is creating one repeatable intake routine.

Music comes in.

Catalog gets updated.

Then it goes on the shelf.

Want Lists Solve the Opposite Problem

Duplicate prevention tells me what I already have.

A want list answers another surprisingly difficult record-store question:

What was I looking for again?

I can walk into a store knowing there are at least 20 albums I would happily buy and somehow remember none of them.

Discogs has a dedicated Wantlist.

CLZ Music supports wish lists.

A spreadsheet, Notes file, or Airtable base can obviously accommodate one too.

Even the world's least sophisticated want list can prevent me from leaving the store with six random albums while forgetting the one I've specifically wanted for three years.

Although, to be fair, the six random albums may still come home.

We're organizing a collection here, not attempting miracles.

Is It Actually a Duplicate?

This gets especially interesting with multiple formats.

Suppose I own an album on CD.

Then I find the vinyl edition.

Duplicate?

Maybe.

Maybe not.

What if I have the original CD but find a deluxe edition with a second disc?

Or the stereo record and I find the mono version?

Or a copy in dramatically better condition?

Collectors deliberately own multiple versions for all kinds of reasons:

  • different pressings;
  • different masterings;
  • mono and stereo mixes;
  • deluxe editions;
  • bonus tracks;
  • alternate packaging;
  • regional editions;
  • colored vinyl;
  • replacement copies;
  • condition upgrades;
  • gift copies;
  • listening copies.

None of those are the problem we're trying to solve.

The problem is getting home and discovering that I bought the same thing accidentally.

Intent changes everything.

A good collection system doesn't need to stop me from owning multiple copies.

It needs to give me enough information to know that I'm doing it.

Beware the Cover-Art Trap

Covers are powerful memory triggers.

Unfortunately, they're not reliable identifiers.

A reissue can use different artwork and look like something I've never seen before.

Two materially different releases can also look nearly identical.

That's one reason even a simple catalog benefits from recording format and perhaps year or edition information.

The cover might make me say:

“I don't own this.”

The catalog might say:

“Yes, you do. Calm down.”

This is one of the rare situations where I appreciate being corrected by a database.

“I Know I Own Something by Them”

This may be the collector version of a system diagnostic.

I find an album by an artist with a long catalog.

I know I own several of their records.

I cannot name which ones.

A searchable collection fixes this instantly.

Search the artist.

There they are.

This is where cataloging starts feeling less like record keeping and more like giving myself access to my own collection when I'm not standing in front of it.

That's the real value.

Eventually, “Do I Own It?” Becomes “Where Is It?”

Larger collections create another problem.

I know I own the album.

I simply have no idea where it is.

Maybe the records are downstairs and CDs are upstairs.

Maybe there's another shelf in the office.

Maybe box sets live somewhere else because apparently nobody designs furniture for box sets.

Maybe half the collection is temporarily in storage.

A location field solves this surprisingly well.

A spreadsheet can have a Location column.

Airtable can use a field or linked record.

Dedicated cataloging products can track additional information about individual copies.

RecordRoom includes storage location.

“Office shelf” may be entirely sufficient.

The system only has to be as complicated as the problem.

Good Data Beats Lots of Data

This may be the most important cataloging lesson I know:

More fields do not automatically create a better collection database.

Useful data does.

For basic duplicate prevention, start with:

  • artist;
  • album;
  • format.

Then add information you genuinely expect to retrieve later:

  • edition;
  • year;
  • condition;
  • storage location;
  • notes;
  • tags.

If catalog number matters to you, track it.

If pressing plant matters, track it.

If the precise shade of the hype sticker matters, I'm not judging, but I hope Future You has a plan for that information.

Data entry should serve retrieval.

A field existing is not, by itself, a compelling reason to fill it in.

The Record-Fair Test

There is another practical wrinkle.

Some of the places where I buy physical music have magnificent cellular service.

Others appear to exist in communications environments last updated during the Carter administration.

Record fairs, antique malls, basements, garage sales, old buildings, and certain gloriously cluttered record shops may leave me with little or no signal.

That makes offline access worth considering.

An Excel file stored locally doesn't need the cloud once I have it.

Google Sheets can be configured for offline use.

Airtable currently does not support offline access.

The exact behavior of dedicated apps and web services varies, so it's worth testing the tool where you actually shop rather than assuming.

The larger point is this:

Your real shopping environment matters more than a feature comparison written from somebody's desk.

Barcode Scanning Helps. It Is Not Magic.

Barcode scanning can take a lot of pain out of entering CDs and newer releases.

RecordRoom supports barcode lookup.

CLZ Music supports barcode-based catalog searching.

But barcodes do not eliminate every identification problem.

Older records may not have one.

Barcodes can sometimes apply across releases where other details still matter.

A damaged or sticker-covered barcode is not particularly interested in helping.

The practical advantage is simpler:

If scanning gets something into my collection faster, I'm more likely to add it immediately.

And we're back to the real issue again.

Habit.

Collection Size Changes the Answer

I don't think there's a magical number at which somebody is officially required to stop using memory and obtain Collection Management Software.

But scale changes the problem.

Around 25 albums

Memory may be perfect.

Around 100

A notes list, spreadsheet, or simple catalog starts becoming useful.

Around 500

Fast search becomes much more valuable.

Around 2,000

Consistency, filtering, formats, editions, storage locations, and reliable mobile access can become major quality-of-life improvements.

Those aren't rules.

They're illustrations.

Someone with 2,000 extremely familiar records may know every one.

Someone with 150 thrift-store CDs accumulated over ten years may have no earthly idea what's in the back row.

The right system changes when the problem changes.

Two Collectors Make This Even More Fun

Shared household collections add another variable.

“I thought you owned it.”

“I thought you owned it.”

And now there are three copies.

If two people regularly buy music independently, access to the same current catalog becomes especially useful.

Sometimes the solution is wonderfully unglamorous.

A shared Google Sheet can do the job beautifully.

Whatever the tool, the principle is the same:

There should be one reasonably reliable answer to:

Do we own this?

Preferably before money changes hands.

Don't Migrate Because an Article Told You To

This is important.

If you already have 1,200 albums cataloged in Discogs and you like it:

Keep using Discogs.

If you have a beautifully maintained Google Sheet:

Keep the spreadsheet.

If you've spent years building a CLZ collection:

Keep CLZ.

If you built an Airtable database that makes you unreasonably happy:

Frankly, I respect the commitment.

Migrating hundreds or thousands of records is work.

I would only consider changing systems if the current one creates an actual problem:

  • I don't update it anymore;
  • adding new albums feels burdensome;
  • I can't access it while shopping;
  • search doesn't help me;
  • I need more release detail;
  • I need less release detail;
  • the software is no longer maintained;
  • my collection has changed;
  • my workflow has changed.

Otherwise, you're not obligated to switch because another tool exists.

The best collection tracker may be the one you're already using.

Import, Export, and Owning the Catalog of Your Collection

Part of what I like about physical music is straightforward ownership.

I think it's reasonable to extend some of that thinking to the information describing the collection.

That doesn't mean avoiding cloud services.

It means asking a boring but worthwhile question:

Can I get my data out?

Google Sheets and Excel obviously work with portable spreadsheet formats.

Airtable supports CSV exports.

Discogs offers collection exports.

CLZ provides export options.

RecordRoom supports CSV export.

CSV is not exciting.

Neither are backups.

That's exactly why both are so useful.

A collection can take decades to build.

I want the catalog to be portable enough that today's software decision doesn't become a blood oath.

So Which System Should You Use?

Here's the framework I would actually use.

Use Memory if:

Your collection is small, you know it well, and accidental duplicates aren't really a problem.

Do not invent a technology project where none is needed.

Use Notes if:

You need a quick searchable list and don't care about much structure.

Simple can be excellent.

Use Google Sheets or Excel if:

You already understand spreadsheets, want complete control over what you track, and don't mind entering the data yourself.

If the spreadsheet answers the question quickly, it is doing its job.

Use Airtable if:

You want to design a structured collection database and enjoy customization.

It's particularly interesting when you want relationships between albums, individual copies, artists, locations, formats, and other information.

Use Discogs if:

Exact releases, pressings, catalog information, and marketplace context matter to you.

Detailed release identification isn't needless complexity when those details are the reason you're cataloging.

Use CLZ Music if:

You want a mature dedicated cataloging product with native mobile apps, web options, substantial collection-management functionality, and more structure without having to build the system yourself.

Use RecordRoom if:

Your primary goal is getting physical music into a searchable collection quickly so you can answer:

Do I already own this?

And if an exact release matters this time, you can choose one.

If it doesn't, you can just save the album.

Different collectors have different jobs to do.

That's okay.

The Actual Solution Is a Habit

Here's the annoying part.

None of these tools actually solves the problem by itself.

Discogs doesn't.

CLZ doesn't.

RecordRoom doesn't.

Airtable doesn't.

The world's most carefully formatted spreadsheet definitely doesn't.

The solution is the habit:

When music comes home, add it.

Good-fit software makes that habit easier.

A spreadsheet you enjoy using makes that habit easier.

A bad-fit system creates just enough friction that I start saying:

“I'll enter these later.”

And we've already established where that leads.

The best collection system isn't necessarily the most powerful one.

It's the one I'll actually use.


A few weeks later, I'm back in a used record store.

I find another album.

Same problem.

I know the artist.

The price is good.

And I have that feeling again.

I think I own this.

This time, I pull out my phone.

I search my collection.

There it is.

Maybe I put the album back.

Maybe I discover mine is on CD and decide I want the record too.

Maybe this copy is a different version and I deliberately buy it.

That's the real goal.

Not preventing myself from ever owning two copies of an album.

Knowing enough about my own collection to make the choice intentionally.

The best collection tool isn't the one with the longest feature list.

It's the one that answers the question when I'm standing in the store.

And the one I remember to update when I get home.
