This Privacy Policy explains how 42Ten Media LLC ("42Ten Media," "RecordRoom," "we," "us," or "our") collects, uses, shares, and protects personal information when you use RecordRoom, including our website, applications, community, and related services (collectively, the "Service").

By using RecordRoom, you acknowledge the practices described in this Privacy Policy.
1. Who RecordRoom Is For
RecordRoom is intended for adults age 18 and older.
We do not knowingly collect personal information from anyone under 18. If we learn that we have collected personal information from a person under 18, we will take reasonable steps to delete it.
2. Information We Collect
We collect information in several ways depending on how you use RecordRoom.
Account Information
When you create or manage a RecordRoom account, we may collect information such as:
- Name;
- Email address;
- Account identifiers;
- Authentication information;
- Subscription plan;
- Account status; and
- Other information needed to manage your account.
Collection Information
When you use RecordRoom to track your physical music collection, we may store information such as:
- Artist names;
- Album or release titles;
- Formats;
- Release years;
- Labels;
- Catalog numbers;
- Barcodes;
- Countries;
- Release or edition information;
- Personal notes;
- Tags;
- Condition information;
- Storage locations;
- Version or edition notes;
- User-uploaded cover images or photographs; and
- Other collection-management information you choose to provide.
Your collection information is private by default unless RecordRoom expressly provides a feature that allows you to share it.
We do not sell or use the contents of your music collection to create behavioral advertising profiles.
User-Uploaded Images and Content
RecordRoom may allow you to upload photographs, scans, or other images associated with your collection.
We process and store this content so we can display it back to you and operate the Service.
Community Information
RecordRoom may provide community features at community.myrecordroom.com.
When you participate in the community, we may process information such as:
- Community profile information;
- Display name;
- Profile image;
- Posts;
- Comments;
- Reactions;
- Messages;
- Uploaded images or files;
- Community activity;
- Moderation records; and
- Other content you choose to submit.
Information you intentionally post or share in the community may be visible to other community members.
Your RecordRoom collection is not automatically made public merely because you participate in the community.
Subscription and Billing Information
If you purchase a paid RecordRoom subscription, our payment processor may collect information necessary to process your payment.
RecordRoom may receive information such as:
- Subscription plan;
- Billing status;
- Transaction identifiers;
- Renewal information; and
- Limited payment-related account information.
We do not directly store your complete payment card number.
Newsletter and Email Information
If you subscribe to RecordRoom newsletters, marketing emails, or other optional communications, we may collect:
- Email address;
- Subscription preferences;
- Newsletter signup source;
- Delivery status;
- Opens or engagement information where provided by our email service provider; and
- Unsubscribe status.
Transactional and account-related emails may still be sent when necessary to operate your account.
Support and Communications
If you contact us, we may collect the information you provide, including:
- Your name;
- Email address;
- The contents of your message;
- Support history;
- Attachments; and
- Other information needed to respond to your request.
When you submit a support request, we may also attach limited technical or account context where available, such as the current page or route, subscription-plan context, an account identifier for signed-in users, and other diagnostic details reasonably necessary to investigate and respond to the request.
Technical and Usage Information
We may collect limited technical and usage information to operate, secure, and improve RecordRoom.
This may include:
- Browser type;
- Device type;
- Operating system;
- IP address;
- Approximate geographic information;
- Referral information;
- Pages or features visited;
- General usage patterns;
- Error and performance data; and
- Security-related information.
We aim to limit collection of technical information to what is reasonably necessary to operate and improve the Service.
3. How We Use Information
We may use personal information to:
- Create and manage RecordRoom accounts;
- Authenticate users;
- Store and display your collection;
- Perform album, release, and barcode searches;
- Save metadata snapshots into your collection;
- Process paid subscriptions;
- Provide community features;
- Provide customer support;
- Send service-related communications;
- Send newsletters or marketing communications you have requested;
- Improve RecordRoom's usability and performance;
- Diagnose errors and technical problems;
- Protect users and prevent fraud, abuse, or unauthorized access;
- Enforce our Terms of Service and Community Guidelines;
- Comply with legal obligations; and
- Protect the rights, security, and integrity of RecordRoom, our users, and others.
4. Collection Privacy
We consider your music collection to be personal account information.
Your collection, notes, tags, condition information, and storage locations are private by default.
We do not sell your collection data.
We do not use your private collection data to build behavioral advertising profiles.
We do not use your private collection data or community content to train artificial intelligence models unless we clearly introduce such a use in the future and update this Privacy Policy before doing so.
5. Music and Release Metadata
RecordRoom may use third-party or publicly available metadata to help identify physical music releases.
When you add a release to your collection, RecordRoom may store a snapshot of selected metadata so that your collection remains useful even if the underlying metadata source later changes.
Imported music metadata is maintained separately from personal collection records where appropriate.
Third-party metadata may contain identifiers from the original source, such as release or master identifiers.
6. Service Providers
We use third-party service providers to help operate RecordRoom.
These providers may process personal information on our behalf or in connection with their own services, depending on the nature of the relationship.
Cloudflare
We use Cloudflare for website delivery, security, abuse prevention, bot detection, and related network operations.
Cloudflare may process technical information such as IP address, browser or device information, request details, and security signals as necessary to provide these services. Cloudflare may also set the __cf_bm cookie to help distinguish automated traffic and protect RecordRoom from bots and abuse.
Supabase
We use Supabase for services that may include:
- Authentication;
- Database hosting;
- User collection records;
- Application data;
- File storage; and
- Related backend infrastructure.
Supabase may process account, collection, uploaded content, and technical information as necessary to provide these services.
After you sign in, RecordRoom uses browser local storage to maintain your Supabase authentication session so we can keep you signed in and provide account features. Anonymous visitors do not receive a RecordRoom authentication session merely by viewing public pages.
Stripe
We use Stripe to process paid subscriptions and billing.
Stripe may process:
- Payment card information;
- Billing information;
- Transaction information;
- Fraud-prevention information; and
- Other payment-related information.
RecordRoom does not directly store complete payment card information.
Paid-plan checkout and billing management may take place on Stripe-hosted pages. Stripe handles payment-card information directly, while RecordRoom may receive subscription, customer, transaction, payment-status, and other limited billing information needed to manage your account. Your use of Stripe-hosted pages is also subject to Stripe's own privacy practices.
Heartbeat
We use Heartbeat to provide RecordRoom community features.
Heartbeat may process information associated with your community account and activity, including:
- Profile information;
- Posts and comments;
- Reactions;
- Messages;
- Uploaded content; and
- Community activity.
Your use of Heartbeat-hosted community features may also be subject to Heartbeat's own privacy practices and terms.
Fathom Analytics
We use Fathom Analytics to understand aggregate website traffic and usage.
Our current Fathom implementation is privacy-focused and cookieless. It does not set analytics cookies or create a persistent cross-site advertising identifier on RecordRoom.
Analytics information may include the page visited, referring page, browser or device information, screen size, and technical information necessarily transmitted with a web request, such as an IP address. We use this information to understand broad usage patterns, improve the Service, and identify technical issues; we do not use Fathom for behavioral advertising or cross-site profiling.
Meta Pixel (Meta Business Tools)
RecordRoom uses the Meta Pixel, one of Meta's Business Tools, on our website to measure and improve our advertising.
The Meta Pixel may collect information about your visit to and interactions with the RecordRoom website. Today we send two events:
- PageView — recorded when a page on our website loads; and
- Lead — recorded when a waitlist signup is completed successfully.
We do not intentionally include your email address, first name, collection data, or any form contents in these events. The Lead event is sent without additional parameters.
Meta may use cookies, pixels, scripts, device or browser identifiers, and similar technologies in connection with this processing, and information such as your IP address, browser and device information, and the pages you view may be transmitted to Meta as part of a normal web request. Information shared with Meta Platforms may be used for purposes such as advertising measurement, attribution, campaign effectiveness, audience measurement, ad delivery, and related advertising services, subject to Meta's own policies.
We do not currently use Meta's Conversions API or automatic advanced matching on RecordRoom.
You can influence this tracking through your browser or device controls (including cookie and tracking-protection settings) and through Meta's own privacy and ad settings, such as the ad preferences and off-Meta activity controls available in your Meta account. If we introduce an on-site consent control, it will also apply here.
MailerLite
We use MailerLite to manage RecordRoom waitlist signups, newsletters, and related email communications.
If you join the waitlist, subscribe to our newsletter, or request other marketing communications, MailerLite may process information such as:
- Email address;
- First name, when provided;
- Subscription, list, or group information;
- Subscription status;
- Delivery information;
- Engagement information; and
- Communication preferences.
7. How We Share Information
We may share information in the following circumstances.
With Service Providers
We may share information with service providers that help us operate RecordRoom, including hosting, authentication, payments, analytics, email, and community services.
These providers receive only the information reasonably necessary to provide their services.
When You Choose to Share Information
Information you intentionally post to the RecordRoom community may be visible to other community members.
We are not responsible for how another user chooses to use information you voluntarily make visible to them, although users remain subject to our Terms and Community Guidelines.
For Legal Reasons
We may disclose information if we reasonably believe disclosure is necessary to:
- Comply with law, regulation, legal process, or governmental request;
- Protect our legal rights;
- Protect the safety or security of users or others;
- Investigate fraud or abuse; or
- Enforce our Terms of Service or other policies.
Business Transfers
If 42Ten Media LLC or RecordRoom is involved in a merger, acquisition, financing, sale of assets, restructuring, bankruptcy, or similar transaction, information may be transferred as part of that transaction.
If ownership or control of RecordRoom changes, we will take reasonable steps to ensure personal information remains subject to appropriate protections.
8. We Do Not Sell Personal Information
RecordRoom does not sell personal information.
We also do not share private collection information with third parties for behavioral advertising purposes.
We use privacy-focused aggregate analytics and the Meta Pixel, as described in this Policy. Through the Meta Pixel, website activity and identifiers such as cookies, device or browser identifiers, and IP-related information may be shared with Meta Platforms for advertising measurement, attribution, and related advertising services. Some U.S. state privacy laws treat this kind of cross-context advertising activity as "sharing" or "targeted advertising," and you may limit it using the controls described in this Policy or by contacting us.
We do not share your private collection contents with Meta.
If our practices change materially in the future, we will update this Privacy Policy before applying the new practice.
9. Cookies and Similar Technologies
RecordRoom uses a limited number of cookies, local-storage values, and similar browser technologies for security, authentication, session management, website delivery, user preferences, application functionality, and privacy-focused analytics.
Cookies

Browser Storage
RecordRoom may use browser local storage or session storage for the following purposes:
- Appearance preference — remembers your selected light, dark, or system display preference;
- Authentication session — after sign-in, stores information needed to maintain your Supabase-authenticated session;
- Collection view preference — remembers whether you prefer card or table view in My Stack;
- Sign-out state — uses a short-lived marker to distinguish an intentional sign-out from session expiration; and
- Scroll restoration — temporarily remembers navigation and scroll position within a browser tab.
Fathom Analytics is currently used for cookieless, aggregate analytics and does not set analytics cookies in our current implementation. The Meta Pixel is an advertising technology and does use cookies and similar technologies as described above; it currently loads on all pages of our website. You can limit it through your browser or device settings and through Meta's own privacy and ad settings. If we materially change our use of cookies, analytics, or advertising technologies, we will update this Privacy Policy and, where required, provide additional choices or consent controls.
10. Email Communications
We may send account-related and transactional communications necessary to operate RecordRoom, including:
- Account verification;
- Password or security notices;
- Billing notices;
- Subscription renewal or cancellation information;
- Important changes to the Service; and
- Legal or policy notices.
If you subscribe to marketing or newsletter communications, you may unsubscribe using the link provided in those emails.
Unsubscribing from marketing communications does not prevent us from sending important service-related messages.
11. Data Retention
We retain personal information for as long as reasonably necessary to:
- Provide RecordRoom;
- Maintain your account and collection;
- Complete billing and financial obligations;
- Resolve disputes;
- Enforce agreements;
- Maintain security;
- Comply with legal requirements; and
- Protect legitimate business interests.
Retention periods may vary depending on the type of information.
Some information may remain temporarily in backups after account deletion.
We may retain certain transaction, billing, fraud-prevention, or legal records after account deletion where reasonably necessary or legally required.
12. Account Deletion
You may request deletion of your RecordRoom account.
When an account is deleted, we will take reasonable steps to delete or de-identify personal information associated with the account, subject to:
- Legal obligations;
- Security requirements;
- Billing and tax requirements;
- Fraud-prevention needs;
- Backup retention; and
- Other legitimate retention requirements.
Community content may require separate treatment depending on how the content appears in conversations or community discussions. We may remove, delete, or de-identify community profile information while retaining certain discussion content where reasonably necessary to preserve the integrity of community conversations or comply with legal obligations.
13. Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information.
No online system can be guaranteed to be completely secure.
You are responsible for protecting your account credentials and should notify us promptly if you believe your account has been compromised.
14. Your Privacy Choices and Rights
Depending on where you live and applicable law, you may have rights relating to your personal information.
These may include the right to:
- Access personal information we hold about you;
- Correct inaccurate information;
- Request deletion of information;
- Obtain a copy of certain information;
- Withdraw consent where processing is based on consent;
- Opt out of certain communications; and
- Exercise other rights provided by applicable law.

We will not discriminate against you for exercising privacy rights provided by applicable law.
15. U.S. State Privacy Rights
Residents of certain U.S. states may have additional rights under applicable state privacy laws.
Depending on the law and whether it applies to RecordRoom, those rights may include:
- Access;
- Correction;
- Deletion;
- Data portability;
- Opt-out rights; or
- Additional information about how personal information is processed.
We do not sell personal information.
If a state privacy law applies to your request, we will respond in accordance with applicable requirements.
16. International Users
RecordRoom is operated by 42Ten Media LLC in the United States.
If you access RecordRoom from outside the United States, your information may be processed or stored in the United States or other locations where our service providers operate.
Privacy and data-protection laws may differ from those in your country.
Where applicable law requires additional protections for international data transfers, we or our service providers may use appropriate legal safeguards.
17. Links and Third-Party Services
RecordRoom may contain links to websites or services operated by third parties.
We are not responsible for the privacy practices of third-party websites or services that are outside our control.
We encourage you to review their privacy policies before providing personal information.
Some links may be affiliate or partner links, meaning RecordRoom may receive a commission or other compensation for a qualifying purchase. We do not receive your payment details from these third parties.
If we offer a referral or promotional program, we may process limited related information such as a referral or promotional code, the referring and referred accounts, redemption status, and promotional eligibility, solely to operate the program and prevent abuse. We do not use this information for behavioral advertising.
18. Community Privacy
The RecordRoom community is intended for adult members.
Information you post to community spaces may be visible to other members.
You should not post sensitive personal information that you do not want others to see.
We may access or review community content when reasonably necessary for:
- Moderation;
- Support;
- Security;
- Abuse prevention;
- Enforcement of Community Guidelines; or
- Compliance with law.
Private collection data is not automatically shared with the community.
19. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in:
- RecordRoom features;
- Our service providers;
- Legal requirements;
- Business practices; or
- Privacy practices.
When we make material changes, we will provide reasonable notice through the Service, by email, or by another appropriate method.
The "Last Updated" date at the top of this policy indicates when it was most recently revised.
